Scheduled Quarterly Reviews: Airtable Task Rollup → Review Record → Gmail Delivery

Problem:

Property review summaries were compiled by hand each cycle someone had to pull every open maintenance task per property, write it up, and email the owner, so reviews were late or skipped entirely.

Solution:

Built a scheduled 5-module Make.com scenario. On its timer, it searches Properties in Airtable, pulls each property's Maintenance Tasks, and runs them through a Text Aggregator to compose the rollup. It then creates a Quarterly Review record in Airtable for the audit trail and sends the formatted review email to the owner via Gmail.

Result:

Every property owner now receives their review email on schedule with a matching Airtable record created automatically, and the review cycle runs with zero manual compilation.
