Dispatch Queue Automation: Shopify Fulfillment → Monday.com Group Move with 6-Branch Routing

Problem:

When orders were fulfilled in Shopify, the corresponding Monday.com items remained in their production groups, someone had to manually search for the item and move it to the dispatch group, creating a disconnect between fulfillment status and warehouse dispatch readiness.

Solution:

Built a Make.com scenario triggered by Shopify order fulfillment. The workflow pulls the updated order data from Shopify, applies a Sleep delay to ensure all fulfillment data has settled, then routes through a 6-branch Router. Each branch targets a different Monday.com board or product category, searching for the matching item by order reference, moving it to the correct dispatch group, and updating its status columns to reflect fulfillment. An error handler at the end of the workflow catches failed moves and retries them, preventing items from getting stuck in production groups.

Result:

Fulfilled orders now move to their dispatch queue in Monday.com automatically within minutes of Shopify fulfillment, with built-in error recovery ensuring no item is left behind in the production group.
