Automated Invoicing Pipeline: WordPress Form → Zoho, Airtable, Mailchimp & Twilio with Pickup/Delivery Routing
Problem: The business processed delivery and pickup orders manually, each order required separate data entry into the CRM, mailing list, invoicing records, and customer notification channels, costing the team roughly 40 hours per week in repetitive admin work.
Solution:
Built a 40+ step Zapier workflow triggered by a WordPress form webhook. On submission, the Zap formats incoming data, adds or updates the subscriber in Mailchimp, creates or updates the contact in Zoho CRM, parses product details, and syncs the record into Airtable, all before routing begins. A Router then splits the flow into Pickup and Delivery paths, each branching further into 'Contact Does Match' and 'Contact Does Not Match' sub-paths. Each sub-path runs its own sequence: looking up or creating Airtable records, generating the formatted invoice quote via Airtable, and sending the final invoice plus confirmation via SMS (Twilio) to both the customer and the merchant.
Result:
The entire order-to-invoice cycle now runs in under 60 seconds with zero manual input, saving the client 40 hours per week of administrative labor.
